Bulk management of Google Business Profiles in one place – technical capabilities

You can manage Google Business Profiles in 2 ways:

  • via Google Business Profile Manager, which allows central administration of multiple Profiles using an import file. However, there are some limitations – the manager does not allow mass management of certain features for all locations; for example, you cannot publish the same post on all Google Business Profiles;
  • via third-party tools, e.g., the growAp application, which offers additional options to facilitate coordination in larger companies.

How to manage multiple locations with Google Business Profile Manager?

Google Business Profile Manager is a tool designed for companies with at least 2 locations. With it, we can:

  • add new locations using an import file. Simply prepare a file with a list of establishments, addresses, phone numbers, and categories, then import it into the panel;
  • manage location data from a single account, e.g., by updating opening hours or descriptions for all points;
  • create location groups according to any criterion, which facilitates, among other things, managing advertising campaigns;
  • assign users and access levels, delegating the management of selected establishments to them.

How to manage multiple Google Business Profiles with the growAp application?

An alternative to Google Business Profile Manager is third-party platforms, such as the growAp application. It is an advanced tool that offers additional features to facilitate managing a large number of Google Business Profiles. growAp provides even greater control over all Profiles and allows, among other things:

  • bulk data editing across all Business Profiles with a single click, eliminating the need for manual file import;
  • responding to customer reviews and checking them in bulk across all connected locations. When responding, you can use automation, a response generator, or pre-created templates;
  • publishing posts, photos, videos across all locations with the ability to schedule publication and removal dates;
  • blocking unauthorized changes, introduced by unauthorized individuals or suggested by Google itself;
  • dividing Business Profiles into catalogs, e.g., by provinces or cities, which facilitates the organization and management of Profiles in larger companies.

Below, we will look at actions that are crucial for managing and optimizing multiple Google Business Profiles.

Setting up and verifying multiple Google Business Profiles

Before you start managing Google Business Profiles, you need to set them up and verify them.

  • Google Business Profile Manager is a good option for bulk creation of Business Profiles, especially when a company wants to add a large number of locations quickly, e.g., using a CSV file.
  • In turn, growAp better supports individual setup and transfer of Business Profiles, which is more beneficial for a smaller number of locations or for companies that prefer manual handling.

Verification and gaining access to Google Business Profiles

Verifying a Google Business Profile involves confirming that the person setting up the Business Profile is its owner or has the authority to manage it (because the owner has agreed). Most often, Google uses a verification code provided via phone call or email for this purpose. Other verification methods include, for example, a postcard, a video recording showing the company’s premises, or a video call.

After verification is complete, you gain full access to manage the Profile.

How to claim multiple Business Profiles that you haven’t had access to until now?

If you are the business owner, but the Profile (in Google Search or Maps) belongs to someone else, you can request ownership transfer (source: https://support.google.com/business/answer/4566671?hl=pl).

  • To claim multiple Business Profiles, click on each of them Claim this business or Is this your business? and go through the ownership verification process.
  • If another user manages the Business Profiles, send a request for access transfer via Google Business Profile. If there is no response, Google will allow you to verify it yourself.

Can this process be streamlined? Yes! In growAp, you can get support from specialists who have experience in claiming Business Profiles, are able to minimize errors, and know techniques that speed up the entire process.

Standardizing and updating data on multiple Google Business Profiles

Updating data on Google Profiles can be done in several ways, depending on the tool you use.

Google Business Profile Manager

You update data via import files, however, this is a time-consuming process. Each change is done manually, and potential errors in files can lead to synchronization issues.

growAp

With the growAp application, the data standardization process is faster and provides greater flexibility.

  • If the data is consistent, you can bulk update data for all locations with a single click (including descriptions and opening hours), without the need to import files. If the information on the Business Profiles differs, then you can prepare an import file and easily import it into the application. This is very convenient, especially if you manage dozens or even hundreds of locations.
  • The application allows for content personalization and entering information specific to a selected location (e.g., links to selected subpages).

Bulk management of Google Business Profiles – how to prevent unauthorized changes?

Managing Google Business Profiles involves not only regular updates of data and information, but also ensuring that only authorized individuals make changes.

Google Business Profile Manager

Google does not provide a feature to block unauthorized changes.

  • Any user with a Google account and Google itself (when it detects discrepancies between website information and the Business Profile) can modify data on Business Profiles, which carries the risk of accidental or unauthorized edits.
  • For larger companies with multiple Business Profiles, this increases the risk of unintended changes that will require manual correction.

growAp

The application provides full control over introduced changes, by automatically blocking unauthorized edits.

  • The application automatically rejects all changes made by users, including those suggested by Google systems, e.g., changes in names, addresses, opening hours, or location (moving the pin on maps).
  • As a result, any change made by users, Google, or the owner themselves in Google Business Profile Manager must go through verification in the application.
  • If it concerns basic data, such as name, address, or opening hours, a change made, for example, by a user is automatically overwritten with data from the application, which helps maintain consistency of information on the Profile.

  • growAp allows for generating ready-made reports in PDF or Excel format, which can then be presented to, for example, managers or the board.

How to share Google Business Profiles with other employees?

Managing multiple Google Business Profiles requires proper planning and allocation of permissions.

Google Business Profile Manager

You can grant access to Business Profiles at the level of individual locations or entire groups, e.g., all Business Profiles of a single chain (source: https://support.google.com/business/answer/6085326?hl=pl&ref_topic=6085325&sjid=5968340997451500934-EU). This way, you add:

  • owners, who have full control, including the ability to add new locations, move them between groups, and edit all settings;
  • managers, with permissions to edit Business Profiles, but without the ability to move or manage location groups.

growAp

In growAp, there is a feature for assigning permissions to manage individual Business Profiles via email. Based on the assigned email address, administrators will be able to determine whether the user:

  • has access to all editing functions;
  • can only view Business Profiles;
  • can only make changes in specific locations.

Each user can also be assigned different permissions for individual modules of the growAp application, i.e., functions on Google Business Profiles. For example, individuals in the company responsible for publishing content on Social Media can only be granted access to the Posts and Media module, while communication and customer service specialists can only handle Reviews and Q

FAQ – Additional Tips for Bulk Management of Google Business Profiles

Below, we answer the most frequently asked questions related to managing multiple locations and Google Business Profiles.

Yes, it is allowed, and often even recommended. According to Google’s guidelines, the name should be the same as registered in the National Court Register (KRS) or Central Registration and Information on Business (CEIDG), on your website, or store sign, e.g., Sphinx. If your company has multiple locations, their names should therefore be identical.

The description can be identical for all locations, especially if it applies to the entire network. You can also add additional information to highlight the specifics of a particular location.

You can publish the same posts across different locations, but be careful that the content is not identical to what appears on your website or social media, to avoid content duplication. Recently, Google has been testing pulling Facebook posts into Business Profiles, but this feature is not yet fully implemented.

Photos should be individual for each location (e.g., interior photos, photos of the area around the business).

  • Generic photos, such as product images or company logos, can however be duplicated across different Business Profiles. It is important to maintain high-quality graphics and describe them appropriately.
  • It is also important that photos added to posts on Profiles do not also appear in the gallery, as Google then considers this a duplication.

You can respond to reviews simultaneously, preferably within 24 hours of their publication, to quickly react to customer feedback, both positive and negative reviews.

Much depends on the company’s goal. For large networks, it is worth analyzing data globally to identify general trends and assess the effectiveness of marketing activities. However, if you want to optimize results in a specific location, you can analyze statistics at the level of individual Business Profiles and thus solve emerging problems in those locations.

Bulk management of Google Business Profiles allows, among other things, for quick implementation of changes and analysis of results across different locations.
